Important Booking Terms at a Glance

A booking is confirmed only after Royal Rider accepts the requested service and the required payment or advance has been received. The final quotation or booking confirmation should be read together with these terms because vehicle type, operating hours, parking, tolls, permits, waiting time and other route-specific conditions can vary by booking.

1. Scope

Application of These Terms

These Terms and Conditions apply to passenger transportation services booked with Royal Rider Bus Rental Dubai, including buses, minibuses, passenger vans, chauffeur-driven vehicles, airport transfers, private transfers, tours, event transportation, corporate transport and staff or labour transportation where applicable.

Specific quotations, contracts, corporate agreements or written booking confirmations may contain additional conditions for a particular service. Where a booking has special operational requirements, the conditions stated in the accepted written quotation or agreement form part of that booking.

The customer should provide the service date, pickup time, pickup and drop-off locations, passenger count, luggage, vehicle requirement and itinerary.

Royal Rider provides a quotation based on the information supplied and the vehicle or service requested.

Confirm Availability

Vehicles and drivers remain subject to availability until the booking is formally accepted and confirmed.

Make Required Payment

The payment or advance stated in the quotation must be completed within the agreed period to secure the booking.

3. Customer Information

Passenger, Luggage and Itinerary Details

The customer is responsible for providing accurate passenger and luggage information. Vehicle seating capacity does not automatically mean that the same number of passengers can travel with large suitcases. Royal Rider may recommend a larger vehicle or lower passenger occupancy where luggage, equipment, strollers, bicycle boxes or other bulky items require additional storage space.

Changes to passenger numbers, luggage, pickup points, destinations, stops, timings or the itinerary after confirmation may affect the vehicle requirement and price. Material changes should be approved before the service begins.

4. Vehicle Supply

Vehicle Availability and Substitution

All vehicles are subject to availability. Where a particular make, model, colour, year or interior has been requested, Royal Rider will make reasonable efforts to supply the requested vehicle, but operational circumstances may require a substitute vehicle of similar or suitable passenger capacity.

Vehicle photographs on the website are representative of the relevant fleet category unless a specific vehicle has been confirmed in writing. Customers requiring a particular VIP interior, luggage configuration or exact model should confirm that requirement before booking.

5. Rates

Rates, Quotations and Additional Charges

The accepted quotation determines the commercial terms for the specific booking. The items below explain common pricing components but do not replace the quotation.

Extra Hours Time beyond the confirmed service period may be charged at the applicable extra-hour rate.
Route / Itinerary Changes Additional kilometres, stops, waiting or operating time may change the final charge.
VAT UAE VAT is applied where applicable and according to the quotation or invoice.

6. Payment

Payment and Booking Security

Payment requirements can differ for one-off transfers, daily hire, events, monthly transport and approved corporate accounts. The accepted quotation or invoice controls the payment schedule for the booking.

Customer Responsibilities

  • Pay the required advance or balance by the stated due date.
  • Use the payment reference or invoice details supplied by Royal Rider.
  • Check the confirmed service details before making final payment.
  • Inform Royal Rider promptly if payment has been made but confirmation has not been received.

Important

  • A quotation alone does not guarantee vehicle availability.
  • Unpaid or overdue bookings may remain unconfirmed.
  • Card/payment-processing charges may apply where disclosed before payment.
  • Approved corporate credit terms apply only where agreed in writing.

7. Cancellation

Cancellation, No-Show and Refund Policy

Unless a different cancellation schedule is stated in the accepted quotation, contract or event-specific booking terms, the following standard daily-service cancellation policy applies.

Where a cancellation falls outside the time bands shown above, or where the booking involves multiple vehicles, events, permits, subcontracted resources, peak dates or other committed third-party costs, the cancellation terms stated in the accepted quotation or written confirmation will apply.

Refunds, where due, are normally returned through an appropriate payment method and may be subject to processing time. Non-refundable third-party costs already incurred for the confirmed service may be deducted where this was disclosed or forms part of the booking conditions.

8. Booking Changes

Rescheduling and Changes After Confirmation

Requests to change a booking are subject to vehicle and driver availability. A change of date, pickup time, route, destination, operating hours, vehicle category or passenger requirement may result in a revised quotation.

Royal Rider should be informed as early as possible when a confirmed itinerary changes. A driver should not be asked to operate a materially different route or schedule without authorization where that change affects legal operating requirements, pricing, parking, permits or the driver’s assigned programme.

9. Waiting Time

Waiting, Delays and Extra Hours

Customers should be ready at the agreed pickup time. Waiting caused by late passengers, extended meetings, delayed events, additional stops or changes to the programme can extend the booked operating period and may result in waiting or extra-hour charges.

Traffic congestion, road closures, security checks, authority restrictions, major events and other conditions can affect travel time in the UAE. Customers should allow suitable travel time for airports, flights, appointments and events.

10. Airport Services

Airport Transfer Conditions

For airport transfers, customers should provide the correct flight number, airport, terminal where known, arrival or departure time, passenger count and luggage details. Airport parking, meet-and-greet arrangements and waiting conditions depend on the confirmed service and airport.

Flight delays should be communicated where possible. Where a flight delay materially changes the scheduled driver or vehicle programme, additional waiting or rescheduling charges may apply according to the confirmed booking conditions.

11. Passenger Safety

Passenger Conduct and Driver Authority

Passengers must follow applicable UAE laws, safety requirements and reasonable instructions from the driver. Passengers must not interfere with the driver, vehicle controls, emergency equipment or other vehicle equipment while the vehicle is operating.

Royal Rider or the driver may refuse to carry or may require the removal of a passenger whose conduct creates a safety risk, threatens the driver or other passengers, causes serious disruption, or may result in damage to the vehicle.

12. Onboard Rules

Smoking, Alcohol, Food, Pets and Prohibited Conduct

The following rules protect passengers, drivers and vehicles. Any special request should be agreed before the service begins.

13. Seats & Capacity

Seat Belts, Seating and Passenger Capacity

The number of passengers must not exceed the lawful seating capacity of the vehicle. Passengers should use available seat belts and remain safely seated while the vehicle is in motion in accordance with applicable requirements and driver instructions.

Royal Rider may refuse to operate a service where the number of passengers exceeds the confirmed vehicle capacity or where luggage blocks aisles, exits or other safety-critical areas.

14. Luggage

Luggage, Personal Belongings and Lost Property

Luggage must be stored safely in the available luggage area or as directed by the driver. Customers should not book solely by seat count when travelling with substantial luggage. Royal Rider may recommend a larger vehicle, a luggage trailer where appropriate, or a separate cargo vehicle for equipment-heavy groups.

Passengers are responsible for checking that they have collected their personal belongings when leaving the vehicle. Any item found after a service should be reported to Royal Rider as soon as possible so the company can check with the driver or operations team.

15. Damage

Damage, Cleaning and Customer Responsibility

The customer may be charged for damage, excessive cleaning or repair costs caused by passengers through misuse, negligence, deliberate damage or prohibited conduct. Normal wear arising from proper passenger use is not treated as customer damage.

Any damage or serious incident should be reported promptly. Customers should not attempt to repair, alter or tamper with vehicle equipment.

16. Operations

Traffic, Road Closures, Events and Circumstances Outside Our Control

Royal Rider plans services according to the confirmed itinerary, but journey times can be affected by traffic, accidents, road closures, weather, police or authority instructions, security restrictions, major events, venue access rules and other circumstances outside reasonable operational control.

Where a route or pickup point becomes inaccessible, the driver or operations team may use a reasonable alternative route or safe nearby pickup/drop-off location where necessary.

17. Operational Substitution

Breakdowns and Replacement Vehicles

If a confirmed vehicle becomes unavailable because of a mechanical problem or another operational issue, Royal Rider may arrange a suitable replacement vehicle where reasonably possible. The priority is to continue the confirmed passenger transport safely with appropriate capacity.

Where Royal Rider is unable to provide the confirmed service and no suitable replacement can be arranged, the company will address the affected booking according to the circumstances and any applicable refund obligation.

18. Monthly Transport

Staff, Employee and Long-Term Transportation

Monthly staff, employee and labour transportation is based on the agreed route, pickup points, shift timings, operating days, vehicle category and contract period. Changes to the route, working hours, number of shifts or service days can require a revised monthly rate.

Long-term and corporate transport arrangements may have separate payment, cancellation, notice and replacement-vehicle provisions stated in the relevant quotation or contract. Those written terms apply to that service.

19. Legal Compliance

UAE Laws and Authority Requirements

Passengers and customers must comply with applicable laws and lawful requirements of UAE authorities, venues, airports and transport facilities. Royal Rider will not require a driver to perform an instruction that would be unsafe, unlawful or contrary to an authority restriction.

20. Acceptance

Acceptance of the Booking Terms

By confirming and paying for a Royal Rider booking, the customer confirms acceptance of the applicable quotation, booking confirmation and these Terms and Conditions. If a quotation contains special terms for a particular booking, those specific written terms should be reviewed before payment.
